SKILLS CRM Privacy Policy

Hoss Pratt International Inc., doing business as SKILLS CRM ("SKILLS," "we," "us," or "our"), located at 6009 W Parker Road, Suite 149-230, Plano, TX 75093, respects your privacy. This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to skillscrm.com, the SKILLS CRM platform, the SKILLS mobile app, our training, and all related services (together, the "Service").

Two kinds of data. This Policy covers two different situations, and the rules differ:

  • Your information as a SKILLS customer or website visitor (Sections 2 through 10). Here, SKILLS decides how the data is used. We are the "controller" or "business."
  • Your contacts' information that you upload to or collect through SKILLS, such as your leads, clients, and database (Section 11). Here, you decide how that data is used and SKILLS processes it on your behalf. We are the "processor" or "service provider," and your own privacy practices govern.

1. Information We Collect

Information you give us.

  • Account and profile: name, email, phone number, business name, brokerage, mailing address, password, profile photo, time zone.
  • Payment: billing name, billing address, and the last four digits and card type of your payment method. Full card numbers go directly to our payment processor (currently Stripe) and never touch our servers.
  • Communications with us: support emails, chat messages, survey answers, testimonials you send us, and recordings or transcripts of training calls you attend.
  • Content you create in the Service: pages, emails, templates, workflows, call scripts, AI prompts, and settings.

Information collected automatically.

  • Usage data: pages viewed, features used, clicks, timestamps, session length, referring URLs, and error logs.
  • Device and connection data: IP address, browser type and version, operating system, device identifiers, screen size, and approximate location derived from IP address.
  • Cookies and similar technologies: see Section 6.
  • Mobile app data: device type, OS version, app version, push notification tokens, and, if you grant permission, access to your contacts, camera, microphone, or location for features that use them. You can revoke these permissions in your device settings.

Information from other sources.

  • Payment processor: transaction status, dispute notices, and fraud signals.
  • Platform provider: account, usage, and telephony records from HighLevel/LeadConnector, on whose platform SKILLS runs.
  • Integrations you connect: if you connect Google, Meta, Zoom, Anthropic (Claude), or another service, we receive the data that integration needs to work, as described when you connect it.
  • Marketing partners and public sources: we may receive lead information from webinar registrations, affiliate referrals, and events you attended.

2. How We Use Your Information

We use your information to:

  • provide, operate, secure, and maintain the Service and your account;
  • process payments, trials, renewals, usage charges, and refunds, and to detect and prevent fraud and chargebacks;
  • provision phone numbers, route calls and messages, and comply with carrier registration requirements;
  • deliver weekly training, recordings, and support;
  • send transactional messages such as receipts, renewal reminders, security alerts, and service announcements (you cannot opt out of these while you have an account);
  • send marketing about SKILLS, training, events, and related offers from Hoss Pratt International, which you can opt out of at any time (Section 7);
  • personalize your experience and remember your preferences;
  • analyze usage to improve features, performance, and reliability, and to develop new products;
  • run advertising and measure its effectiveness (Section 6);
  • enforce our Terms of Service, protect our rights and the rights of others, and respond to legal requests;
  • comply with law, including tax, accounting, and telecommunications rules.

Legal bases (where GDPR or UK GDPR applies). We process your information to perform our contract with you, for our legitimate interests (running and improving the Service, security, marketing to existing customers), to comply with legal obligations, and, for cookies and certain marketing, with your consent.

3. AI Features and the Claude Connection

3.1. AI inside SKILLS. Features such as Voice AI, Conversation AI, Content AI, Workflow AI, and AI Studio send the text, audio, and settings needed to generate a response to AI providers used by our platform. Those providers process the data to return output and, under the platform's agreements, do not use it to train their public models. AI output may be stored in your account as part of your Customer Data.

3.2. Claude connection. If you connect your own Claude account, Claude (operated by Anthropic) can read data in your SKILLS account and take actions you direct. That data is sent to Anthropic under your agreement with Anthropic and Anthropic's privacy policy, not ours. You control what you ask Claude to do and can disconnect at any time from your account settings. We do not receive your Anthropic credentials.

3.3. Call and voice recordings. If you enable call recording, voicemail, or Voice AI, audio and transcripts are stored in your account. You are responsible for obtaining any consent the law requires before recording.

4. How We Share Information

We do not sell your personal information, and we do not share it for cross-context behavioral advertising, except as described in Section 6 for advertising cookies (which you can turn off). We share information only as follows:

  • Service providers and subprocessors that help us run the Service, under contracts that limit their use of the data to providing services to us. These include our platform provider (HighLevel/LeadConnector and its subprocessors), telephony and messaging carriers (including those HighLevel uses to deliver calls and texts), email delivery providers, cloud hosting, payment processing (Stripe), AI providers used by the platform, analytics, customer support tools, and video conferencing for training. A current list is available on request at support@hosspratt.com.
  • Integrations you choose (Google, Meta, Zoom, Anthropic, and others). Data goes to them under their terms when you connect them.
  • Carriers and registrars for A2P 10DLC and phone number registration, which requires your business name, address, contact, and use-case information.
  • Professional advisors such as lawyers, accountants, and insurers.
  • Legal and safety: to comply with law, subpoenas, or government requests; to enforce our Terms; to protect the rights, property, or safety of SKILLS, our users, or the public; and to investigate fraud or security issues.
  • Business transfers: in connection with a merger, acquisition, financing, reorganization, or sale of assets, in which case this Policy will continue to apply to your information until it is updated.
  • With your direction or consent, for example when you ask us to send a testimonial to a partner or post it publicly.
  • Aggregated or de-identified data that cannot reasonably identify you.

5. Testimonials and Marketing Materials

If you send us praise, a review, a success story, or a message about your results, we may use it (including your name, brokerage, and photo if you supplied them) in our marketing, on our website, in ads, and in training, unless you tell us not to. Email support@hosspratt.com to withdraw permission and we will remove it from future materials within a reasonable time.

6. Cookies, Pixels, and Advertising

6.1. What we use. Our website and app use cookies, local storage, and similar technologies for: (a) essential functions such as login, security, and remembering your cart; (b) analytics to understand how people use the site; and (c) advertising, including the Meta (Facebook) Pixel and similar tags, which help us measure ads and show relevant ads to people who visited our site. Advertising cookies may share your browser and activity information with Meta, Google, and similar platforms, which may combine it with data they hold under their own policies.

6.2. Your choices. You can block or delete cookies in your browser settings; the Service may not work fully if essential cookies are blocked. You can opt out of Meta's ad personalization at facebook.com/ads/preferences, Google's at adssettings.google.com, and many networks' at optout.aboutads.info. Where the law requires, we will ask for consent before setting non-essential cookies, and residents of certain states may use the "Do Not Sell or Share" method in Section 8.

6.3. Do Not Track. Our site does not respond to browser "Do Not Track" signals, but it does honor Global Privacy Control signals where the law requires (Section 8).

7. Your Choices

  • Marketing emails and texts: click "unsubscribe" in any marketing email or reply STOP to any marketing text. You will still receive transactional messages about your account.
  • Push notifications: turn off in your device settings.
  • Account information: update it in your account settings at any time.
  • Integrations: disconnect any connected service in your account settings.
  • Cookies: see Section 6.
  • Closing your account: cancel in your account or email support@hosspratt.com. See Section 9 for what happens to your data.

8. Your Privacy Rights

Depending on where you live, you may have the right to:

  • know what personal information we collect, use, and share;
  • access a copy of your personal information in a portable format;
  • correct inaccurate personal information;
  • delete your personal information, subject to legal exceptions;
  • opt out of the sale of personal information, of sharing for targeted advertising, and of profiling that produces legal or similarly significant effects;
  • limit the use of sensitive personal information;
  • appeal a decision we make about your request;
  • not be discriminated against for exercising your rights.

Texas residents. The Texas Data Privacy and Security Act gives you the rights above. We do not sell personal data as defined by that Act. We may process personal data for targeted advertising through advertising cookies; you can opt out by adjusting cookie settings, using Global Privacy Control in your browser, or emailing us. If we deny a request, you may appeal by replying to our decision; if the appeal is denied, you may contact the Texas Attorney General.

California residents. The California Consumer Privacy Act, as amended by the CPRA, gives you the rights above. In the past 12 months we have collected the categories of personal information described in Section 1 for the purposes in Section 2 and disclosed them to the categories of recipients in Section 4. We do not sell personal information. We may "share" (as California defines it) browsing data with advertising partners through cookies; opt out via the methods in Section 6, by emailing support@hosspratt.com with "Do Not Sell or Share" in the subject, or by enabling Global Privacy Control. We do not knowingly collect personal information of anyone under 16.

Residents of Virginia, Colorado, Connecticut, Utah, Oregon, Montana, and other states with privacy laws have similar rights, exercisable the same way.

European Economic Area, United Kingdom, and Switzerland. You have the rights above plus the right to object to processing based on legitimate interests, to withdraw consent, and to lodge a complaint with your supervisory authority. Our Service is hosted in the United States; by using it you understand that your data is transferred to and processed in the United States, which may not provide the same protections as your home country. Where required, we rely on standard contractual clauses and other lawful transfer mechanisms.

How to exercise your rights. Email support@hosspratt.com with "Privacy request" in the subject line, or write to us at the address in Section 14. We will verify your identity by matching the details you provide with our records and, for some requests, by confirming through your account email. An authorized agent may make a request on your behalf with written proof of authority. We respond within 45 days (extendable once by another 45 days where permitted) and will not charge for a reasonable number of requests.

Contacts of SKILLS customers. If your information is in a SKILLS customer's account (for example, you are a lead or client of a real estate agent who uses SKILLS), please direct your request to that agent or business. They control your data; we will assist them in responding. If you cannot reach them, contact us and we will forward your request.

9. Data Retention and Deletion

  • Account data is retained while your account is active and for up to 30 days after cancellation or termination so you can export Customer Data (see Terms of Service Section 4.4). After that, we delete or de-identify it in the normal course, except as noted below.
  • Billing, tax, and dispute records are retained for 7 years as required by law and for chargeback defense.
  • Telephony and messaging records are retained as required by carriers and telecommunications rules.
  • Backups may hold copies for a limited period after deletion until they cycle out.
  • Legal holds may extend retention where we are required to preserve data.
  • Marketing data is retained until you opt out, then suppressed so we do not contact you again.

10. Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit (TLS) and at rest for platform data, access controls, logging, and vendor due diligence. No system is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your password confidential and for the security of devices you use to access the Service. If we discover a breach affecting your personal information, we will notify you and the relevant authorities as required by law.

11. Customer Data: Your Contacts, Leads, and Clients

11.1. Roles. When you upload contacts, import a database, capture leads through a SKILLS form, page, or phone number, record calls, or message anyone through SKILLS, that information is Customer Data. You are the controller/business and SKILLS is your processor/service provider.

11.2. What we do with it. We process Customer Data only to provide the Service to you and as your written instructions (including your use of the Service's features) direct, to comply with law, and to secure and maintain the Service. We do not sell Customer Data, use it for our own marketing, or use it to market to your contacts. We do not combine it with data from other customers except in de-identified, aggregated form for operational analytics.

11.3. Subprocessors. Customer Data is processed by the subprocessors listed in Section 4 (platform, telephony, email delivery, hosting, AI providers used by the platform) under contracts requiring at least the protections in this Policy.

11.4. Your obligations. You must have a lawful basis and all required consents to collect and use Customer Data through SKILLS, publish your own privacy policy where the law requires, honor your contacts' privacy requests and opt-outs, and not upload data categories the Service is not designed to hold (Terms of Service Section 8).

11.5. Requests from your contacts. If we receive a privacy request from one of your contacts, we will forward it to you unless the law requires us to act directly.

11.6. Data processing terms. If your business requires a signed data processing agreement (for example, under GDPR or a state privacy law), email support@hosspratt.com and we will provide one.

12. Children

The Service is for adults and businesses. We do not knowingly collect personal information from anyone under 18, and anyone under 18 may not create an account. If you believe a minor has provided us information, contact us and we will delete it.

13. Changes to This Policy

We may update this Policy. If a change is material, we will notify you by email or in-app notice at least 14 days before it takes effect. The "Last updated" date shows the most recent revision. Continuing to use the Service after a change takes effect means you accept the updated Policy.
